Pilot draft. This document is provided for informational purposes during the WinBin pilot and will be replaced by counsel-reviewed text before public launch.
WinBin turns venue bins into an instant-win game. This policy explains what information we handle to run that game and the venue/sponsor marketplace around it. The short version: participants stay anonymous unless they win and choose to claim a prize, and we do not sell personal information or run ad trackers.
Information we collect from participants
- Play data. When you scan a bin and play, we record the venue, bin, event, time, game outcome, and a browser session token. None of this identifies you personally.
- Location, checked once. Before you play, your device shares its approximate location a single time so we can confirm you are physically at the participating venue. We use it for that check and to prevent abuse — WinBin does not track your movements.
- Email, only if you win. If you win and choose email delivery for your coupon, we collect the address you enter and use it to send that coupon. Losing plays never ask for contact information.
- Redemption records. When venue staff redeem a winning coupon, we record the redemption so the same coupon cannot be used twice.
Children
Participants must confirm they are 13 or older before playing. Anyone under 13 is redirected away before any data is collected (COPPA).
Information we collect from venues and sponsors
- Account data. Registering a venue or sponsor account collects your name, business name, and email, which become your sign-in identity.
- Operations data. Venue, bin, event, listing, campaign, and settlement records needed to run the marketplace and produce reports.
Contact form
Messages sent from our contact page include the name, email, organization, and message you provide. They are delivered to our inbox by email and used only to respond to you.
Cookies
Dashboard sign-in uses secure, httpOnly authentication cookies for venue operators, sponsors, and staff. The participant game does not require an account, and we do not use advertising cookies or third-party analytics trackers. See our Cookie Policy for the full list.
How we use information
- Run the game: verify presence, enforce play limits, deliver and redeem coupons.
- Operate the marketplace: listings, campaigns, reports, and settlements.
- Prevent abuse and keep the sweepstakes fair.
- Report aggregate, non-identifying results (scans, wins, redemptions) to the venue and sponsor involved.
Sharing
We do not sell personal information. We share it only with the service providers that host and deliver WinBin (Amazon Web Services for infrastructure and email delivery), and, in aggregate non-identifying form, with the venue or sponsor whose event you played at. Our Data Processing & Subprocessors page lists these providers.
Retention
Play and redemption records are kept for the duration of the pilot for auditing and fraud prevention; because non-winning plays are anonymous, those records hold no information that identifies you. Win-claim email addresses are used for coupon delivery and related prize communication — never marketing lists — and are deleted on request (see Your choices below).
Your choices
To ask what we hold about you, or to request deletion, email info@winbin.app. Location sharing is always your choice in the browser — without it, plays at geofenced venues cannot be verified. California residents can review their rights on the Do Not Sell or Share page.
Changes
We will update this page as the pilot evolves and note the date above. Material changes will be flagged on this page before they take effect.
